Gate Passes, Without the Paperwork Pain
The gate pass is the most error-prone document in liquor retail — cramped columns, carbon copies, duty figures. AI reads it; you verify it.
Every consignment a liquor shop receives travels with paperwork — and the gate pass is the hardest of it: dense tables of cases, loose bottles and duty amounts, often dot-matrix printed, sometimes skewed photocopies. Typing it in is slow; not recording it breaks your audit trail. The digital workflow keeps both.
Why gate passes defeat ordinary OCR
- Column bleed: on skewed scans, the duty column visually merges into quantity columns — naive OCR reads "10 cases" where the paper says "₹10 duty".
- Cases × bottles arithmetic: quantities appear as cases and loose bottles with size-dependent case packs (a 180ml case ≠ a 750ml case). The reader must know liquor packaging, not just characters.
- Abbreviated brand text: "RS 180", "MM SUP 375" — meaningless without a brand catalogue to match against.
The verified digital workflow
- Photograph the gate pass (and the invoice) when the consignment arrives.
- AI extraction with arbitration — cases, bottles and litres are read as separate constraints and cross-checked against each other, so a single misread column can't silently win.
- Footer reconciliation — extracted totals must match the document's own printed case/bottle totals, or the document is flagged for review rather than saved.
- One-tap approve — the verified purchase books into stock, with the original photo retained against the record.
This is the architecture behind Liquor Pro's scanning pipeline — built specifically for liquor paperwork, including gate passes.
What you gain beyond saved typing
- Audit-ready records: every stock increase traces to a photographed document — useful for excise queries and for settling distributor disputes.
- Same-day books: stock enters the system the day it enters the shop, so registers and reorders run on reality.
- Shortage evidence: billed-vs-received differences are recorded against the document while the delivery is still present.
Compliance note: digital records complement your statutory registers — they don't replace what your state excise rules require you to maintain. The win is that a reconciled digital ledger makes the statutory paperwork checkable instead of hopeful.
