Cash Management for Liquor Shops

Sales in, expenses out, drawer counted — the 10-minute daily close that ends 'where did the cash go' forever.

A liquor shop's cash problem is rarely missing money — it's missing records. UPI settles to the bank, cash sits in the drawer, the distributor was paid partly in each, the electrician was paid from the till… and by month-end nobody can say what the shop actually earned. The fix is a daily close that takes ten minutes.

Track money by mode, from the sale itself

Every sale should carry its payment mode — cash, UPI or card. That single habit means the evening's expected drawer total is computed, not guessed: opening float + cash sales − cash payouts = expected drawer. UPI and card reconcile against the bank, separately.

Every rupee out gets a category

  • Vendor payments — recorded against the distributor's account, so bills, payments and dues outstanding are always current. Settlement day becomes a lookup, not an argument.
  • Fixed expenses — rent, electricity and other bills, staff salaries — recorded when paid, visible in monthly summaries.
  • Daily expenses — transport, chai, repairs — ten-second entries. Small leaks sink monthly profit invisibly when untracked.

(Liquor Pro tracks all of these — cash flow, vendor bills & dues, rent, bills and salaries — beside the sales register, so the close is one screen.)

The 10-minute daily close

  1. Approve the day's sales register — bottles and revenue final for the day.
  2. Enter the day's payouts — vendor payments and expenses, with categories.
  3. Count the drawer — compare against the app's expected cash-in-hand.
  4. Resolve gaps today — a ₹500 gap is findable tonight; a ₹3,500 gap on Sunday is not.

What month-end looks like when daily closes happen

QuestionAnswer source
What did we actually earn?Sales − expenses, by category, on one report
Whom do we owe, how much?Vendor dues, per distributor, current to yesterday
Where did cash leak? The daily closes already caught it — there's nothing to hunt
Rule of thumb: if a payment isn't recorded the day it happens, treat it as untracked — month-end reconstruction from memory is fiction with numbers.
